Challenge

Auckland District Health Board (ADHB) is the largest trainer of doctors in the country and provides local hospital and outpatient services for more than 400,000 people living in Auckland city. Having a robust and efficient reporting system for governance, management and administration staff is imperative for a structure of this type to be run and supported efficiently.

ADHB had been using Crystal Reports 7 for its enterprise reporting for more than eight years. However, the organisation’s business had become too complex and the functions could not cope with the with the complexities to be able to perform the organisation’s operational and management functions. A new, more user-friendly tool was needed to meet the business needs and ultimately improve the services they were providing.

Approach

ADHB chose Business Objects Enterprise and Crystal Reports XI because it meets all their reporting requirements and can cope much better with managing the many complexities within the various layers of the Auckland health system. Crystal Reports XI addresses all steps in the reporting process with one tool: data access, report design, management and delivery, and report integration with portals and applications.

Crystal Reports XI was specifically chosen because of its ability to be implemented seamlessly without disrupting the current reporting system. The fact that there was no down-time or disruption to ADHB was a major plus. The process was streamlined and even allowed for ADHB to take the opportunity to re-engineer and standardise reports already in the system.

Crystal Reports XI takes data run through in-house systems for real time reports, which are used for daily operational functions, and analytical reporting. Although all users were trained following the implementation of Crystal Reports XI, minimal training was required because the interface is very intuitive and logical to use.

Results

Crystal Reports XI is used by 120 ADHB users including managers, administrators, as well as Business Analysts and Analyst/ Programmers in the dedicated reporting team. It provides ADHB managers with an easy to understand view of high-level information. They are also able to use the functionality of Crystal Reports XI to access detailed results to satisfy queries they may have. More over, Business Objects Crystal Reports XI supports a wide range of functions including; coordinating treatment activities, internal service desks; coordinating hospital in-patient and out-patient appointments; supporting theatre operating rooms; supporting community mental health teams; and referral and discharge administration, to name a few. It is therefore a highly versatile platform that is delivering ADHB considerable added value and productivity.

User uptake of Crystal Reports XI has been very encouraging. Many more staff produce reports now that Crystal Reports XI has been adopted. The updated parameter features which previously prevented its wide spread adoption has been a major factor, as have the fact there are many more technical and formatting options, better search and scheduling functionality. If daily, weekly and monthly reports are run on the same day, for example the 1st of the month, approximately 1175 instances of reports are scheduled to printers and users e-mail on that day.
